FaxNow LLC ("Company," "we," "us," or "our") operates the FaxNow online fax service at faxnow.net. This Privacy Policy describes how we collect, use, store, and protect information about you when you use our Service.

2. Information We Collect

We collect only the information necessary to provide the Service:

• Email address — used to create and identify your account and to send you transaction-related emails such as verification codes, fax confirmations, and billing receipts
• Payment information — credit or debit card details provided at the time of a transaction. Card data is transmitted directly to our payment processor (Stripe) over encrypted connections and is not stored on our servers
• Fax documents — documents you upload for transmission are stored temporarily on our servers during processing and transmission, then retained for a limited period to allow you to download confirmation copies
• Fax metadata — recipient fax numbers, page counts, transmission timestamps, and delivery status, retained for billing and account history purposes
• Inbound fax data — if you have an assigned inbound fax number, received fax documents and associated metadata (sender number, page count, timestamp) are stored and made available in your account portal
• Log data — standard server logs including IP addresses and browser information, retained for security and troubleshooting purposes

3. How We Use Your Information

We use the information we collect solely to:

• Authenticate your account via one-time verification codes
• Process and deliver your outbound fax transmissions
• Receive and deliver inbound faxes to your assigned number
• Process payments and issue billing receipts
• Send you transaction-related emails including fax confirmations and billing notices
• Maintain your account history and fax logs
• Investigate and resolve technical issues or disputes
• Comply with applicable legal obligations

We do not use your information for advertising, marketing profiling, or any purpose beyond operating the Service.

4. Information We Do Not Share

We do not sell, rent, trade, license, or otherwise disclose your personal information to any third party for their own purposes. We do not share your information with advertisers, data brokers, analytics companies, or marketing platforms.

The only circumstances under which we may disclose your information are:

• Payment processing — your payment card information is processed by Stripe, Inc. solely for the purpose of completing your transaction. Stripe's privacy practices are governed by their own privacy policy at stripe.com/privacy
• Legal requirements — we may disclose information if required to do so by law, court order, or other governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of FaxNow LLC, our users, or the public
• Business transfers — in the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you via email if such a transfer occurs and your information will remain subject to this Privacy Policy

5. Data Storage and Security

Your data is stored on servers located in the United States. We implement industry-standard security measures to protect your information, including:

• TLS encryption for all data in transit between your browser and our servers
• TLS encryption for all email transmission
• Access controls limiting who can access stored data
• Regular security updates to server software

No method of electronic storage or transmission is 100% secure. While we take reasonable precautions to protect your information, we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. Specifically:

• Account information is retained until you request deletion of your account
• Fax documents and rendered PDFs are retained for 90 days after transmission to allow download, then deleted
• Billing records are retained for seven years as required for tax and accounting purposes
• Server logs are retained for 30 days then purged

7. Cookies

We use a single session cookie to keep you signed in to your account. This cookie contains no personal information — only an encrypted session identifier. We do not use tracking cookies, advertising cookies, or any third-party cookies. We do not use any analytics services.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page with an updated effective date. Your continued use of the Service after any changes constitutes your acceptance of the updated policy. We encourage you to review this policy periodically.
